Privacy Policy
Effective October 14, 2026
Stellar Sales (“Stellar”, “we”, “us”) records, transcribes and analyzes sales calls for teams at stellarsales.ai. This policy explains what we collect, how we use it, who we share it with and the choices you have. Organizations that use Stellar decide which meeting platforms to connect and control the call data imported into their workspace; we process that data on their behalf.
Information we collect
- Account information: your name, email address, password (stored only as a hash) and profile photo. If you sign in with Google, we receive your Google account ID, name, email address and profile photo.
- Organization and billing: organization name, seats, members and invitations (including phone numbers you enter to text an invite). Payments are processed by Stripe; we never see or store card numbers.
- Meeting data from platforms you connect:
- Zoom: cloud recordings, each participant’s separate audio file, meeting topic, host, and participant names and email addresses.
- Microsoft Teams: meeting subject, organizer and attendees, recordings and Teams transcripts.
- Google Meet: described in “Google user data” below.
- Content created in Stellar: transcripts, talk-time statistics and comments.
- Usage data: pages viewed, clicks, device and browser details, and recordings of how the app is used, collected with PostHog. Form inputs are masked, and call content (titles, participants, transcripts and comments) is excluded from session recordings and click tracking.
- Cookies: required cookies keep you signed in; analytics cookies are used by PostHog.
Google user data
When you connect Google Meet, you authorize Stellar through Google OAuth to access the following. We request only what the Meet integration needs.
What we access and why
- Basic profile (
openid, email, profile): to identify the Google account you connected and link it to your Stellar user. - Google Meet (
meetings.space.readonly): for Meet calls you organize or are invited to, the conference record (start and end time, meeting code), participant display names and Google account IDs, and transcript entries (speaker, text and timestamps). We use them to import each transcribed call into your organization’s Stellar workspace, attribute what was said to each speaker, and calculate talk-time statistics. We also create a Google Workspace Events subscription on your account so we are notified when a new transcript is ready. - Google Calendar events (
calendar.events.readonly): to find the calendar event for an imported Meet call and read its title, organizer and attendee email addresses, so the call has the right name and owner and participants can be matched to your teammates. We only look at events within a day of the call to find the one with that call’s meeting code, and we don’t store other events. Granting calendar access is optional.
We do not access Meet recordings or video, Google Drive, Gmail or your contacts.
How we store, share and protect it
- Google user data is stored in our database and file storage on Amazon Web Services in the United States (us-east-2), encrypted in transit and at rest. Google OAuth tokens are additionally encrypted with AES-256-GCM and are deleted when you disconnect.
- It is shown only to members of your Stellar organization.
- We do not sell Google user data, use it for advertising, or transfer it to third parties, except to the infrastructure provider that hosts Stellar (Amazon Web Services) as needed to run the service, or when required by law. It is not sent to our transcription or analytics providers.
- We do not use Google user data to develop, improve or train generalized AI or machine-learning models.
- Stellar staff do not read your Google user data unless you ask us to (for example, for support), for security purposes such as investigating abuse, or to comply with the law.
Stellar Sales’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Revoking access
Disconnect Google Meet on the Integrations page at any time; this deletes our Google tokens and the Workspace Events subscription. You can also remove Stellar’s access at myaccount.google.com/permissions. Calls already imported stay in your organization’s workspace until they are deleted (see “Retention and deletion”).
How we use information
- To provide Stellar: import calls, produce speaker-attributed transcripts, search, talk-time analytics, playback and comments.
- To transcribe Zoom audio, each participant’s audio file is sent to OpenRouter and the speech-to-text model it routes to. Teams and Google Meet calls use the platform’s own transcript and are not sent for transcription.
- If your organization connects HubSpot, we look up a call’s attendees among your HubSpot contacts and add a call activity (title, time, duration and a link to the call in Stellar) to the matching contacts, their companies and open deals. We read only what that needs and never create or change HubSpot records.
- To run your account and billing, send service emails and text invites, provide support, and keep Stellar secure.
- To understand and improve the product using usage data, which excludes call content.
Service providers
- Amazon Web Services: hosting, database, file storage, email (SES) and text messages, in the United States.
- Stripe: payments.
- OpenRouter and the speech-to-text providers it routes to: transcription of Zoom audio only.
- PostHog: product analytics, excluding call content.
- Zoom, Microsoft and Google: the meeting platforms you choose to connect.
- HubSpot: the CRM your organization chooses to connect.
We do not sell personal information.
Recording consent
Stellar imports recordings and transcripts that already exist on your meeting platform. Organizations are responsible for telling participants that calls are recorded and for getting any consent the law requires.
Retention and deletion
- Call data is kept while your organization’s account is active.
- When an organization admin asks us to delete calls or close the account, we delete the data within 30 days, including backups as they expire.
- Integration tokens are deleted as soon as an integration is disconnected.
Your choices and rights
You can ask to access, correct, export or delete your personal information by emailing will@stellarsales.ai. Admins can remove members and disconnect integrations at any time. If your call data is managed by your employer, we may refer your request to them.
Children
Stellar is a business tool and is not directed to children under 16.
Changes
We will post changes to this policy on this page and update the effective date above.
